The problem
A farm, a shop or a hotel is a small factory: assets that must run, stock that must reconcile, suppliers that must deliver what was paid for. When the records live in notebooks and memory, counts get "mixed", deliveries shrink between the gate and the store, and by the time the loss is visible it has six months of history behind it.
Software will not make people honest. It does something more useful: it makes dishonesty visible within a day instead of a season, and a one-day leak is a small leak.
The controls
Every supplier is registered once with a verified account. Only the owner can change bank details, every change is logged, and payments are recorded only against the registered account. The account-swap fraud dies here.
The owner approves each order. A different person confirms what actually arrived, with photos. Payment is recorded only after both. Paying for 20 bags and receiving 2 becomes impossible to hide.
Headcounts, mortality, weights, stock in and out: every entry is permanent and signed by whoever made it. Corrections are new entries. A count that disagrees with the arithmetic raises a variance the same day.
Every morning the system re-checks headcounts against records, stock against the ledger, orders against deliveries, and weights against the trend, then briefs the owner on anything that does not add up.
